Managing an Office 365 Group wasn’t the easiest task so far, but with user activity based renewal, we’re heading into the right direction. Microsoft has listened to us (the community) and offers now a new feature where we can give more power to our users. That’s also what their slogan is all about, right? In this article the English version is the first, but below that, you’ll find the German version.

So what is it? Well, let’s answer it with an example (Hogwarts-Style):
The administrator (e.g. Albus Dumbledore) has configured the group lifetime to let’s say 90 days. Harry is the owner of the Change Manager of Hogwarts Group with Hermione and Ron as its members. His group is about to expire, but if a member of the group (including the owner) performs an action (actions explained after the graphic), the group is automatically renewed for the lifetime the administrator set. Also the owner now doesn’t get any expiry notifications.
User actions for group auto-renewal: The following user actions will lead to automatic renewal of groups:
- SharePoint – View, Edit, Download, Move, Share, Upload Files
- Outlook – Join group, Read/write group message from group space, Like a message (OWA)
- Teams – Visit a Teams channels

Eine Office 365-Gruppe zu verwalten war bisher nicht die einfachste Aufgabe, aber mit der auf Benutzeraktivitäten basierenden Erneuerung von Office 365 Gruppen, bewegen wir uns in die richtige Richtung. Microsoft hat uns (der Community) zugehört und bietet jetzt eine neue Funktion an, mit der wir unseren Benutzern mehr “empowerment” geben können. Was eine Referenz zu Microsoft’s Slogan 🙂

Schön und gut, aber was ist das nun? Am einfachsten wird es anhand eines Beispiels erklärt und da Halloween und der Zauber ja bald vor der Tür steht, mal wieder im Hogwarts-Style:
Der Administrator (z. B. Albus Dumbledore) hat die Gruppenlebensdauer so konfiguriert, dass sie beispielsweise 90 Tage beträgt. Luna ist die Besitzerin der “Zweite Reihe in Hogwarts Gruppe” mit Minerva und Hagrid als Mitgliedern. Ihre Gruppe läuft bald ab. Wenn jedoch ein Mitglied der Gruppe (einschließlich des Besitzers / der Besitzerin) eine Aktion ausführt (welche Aktionen genau siehst du unterhalb der Grafik), wird die Gruppe automatisch für die vom Administrator festgelegte Dauer erneuert. Auch erhält der Besitzer / die Besitzerin jetzt keine Ablaufbenachrichtigung.
Benutzeraktionen für die automatische Erneuerung von Gruppen:
- SharePoint – Anzeigen, Bearbeiten, Herunterladen, Verschieben, Freigeben, Hochladen von Dateien
- Outlook – Gruppe beitreten, Gruppennachricht aus Gruppenraum lesen / schreiben, “Liken” einer Nachricht (OWA)
- Teams – Besuch von Kanälen des Teams
